Privacy policy

This policy explains how Eternix collects, uses, shares, and protects personal information when you visit our websites, request information, participate in demos, or use connected services.

Last updated: April 21, 2026

Scope

This Privacy Policy applies to personal information processed by Eternix in connection with eternix-branded websites, marketing communications, events, demos, support interactions, and related cloud services we operate (“Services”). If you are covered by an enterprise agreement with specific data-processing terms, those terms govern where they conflict with this policy on the subject matter they cover.

Data controller

The controller responsible for personal information described here is the Eternix operating entity identified in contracts or invoices. For general inquiries, use the contact options on our website.

Information we collect

Depending on how you interact with us, we may collect:

  • Identity & contact data: name, email address, phone number, job title, company name, and country or region.
  • Account & technical data: login identifiers, authentication events, configuration choices, API usage metadata, IP address, device type, browser version, and approximate location derived from IP.
  • Content you send us: messages, files, integration settings, and other materials you submit through forms, email, chat, or product interfaces.
  • Marketing & analytics signals: campaign attribution, engagement with emails (where permitted), and on-site interactions collected through cookies or similar technologies.
  • Support & security records: troubleshooting logs, incident reports, and recordings of consent or policy updates where we are required to keep proof.

We do not knowingly collect sensitive categories of data (such as health information) unless you voluntarily provide them in a context that requires it and we have a lawful basis to process them.

Sources

We obtain information directly from you, automatically when you use the Services, from your organization where it administers access, and occasionally from trusted partners (for example, event co-sponsors) where we have verified consent or another lawful basis.

How we use information

We process personal information to:

  • Provide, operate, maintain, and secure the Services.
  • Authenticate users, personalize experiences, and improve reliability and performance.
  • Communicate about onboarding, technical notices, service changes, and—where permitted—products, events, and educational content you may opt out of.
  • Analyze aggregated or de-identified usage to understand feature adoption and product quality.
  • Meet legal obligations, enforce our Terms of service, and protect the rights, safety, and property of Eternix, our customers, and the public.

Where the EU or UK General Data Protection Regulation (or comparable law) applies, we rely on one or more of the following legal bases:

  • Contract: processing necessary to deliver the Services you request.
  • Legitimate interests: securing our networks, improving products, and sending relevant B2B communications—balanced against your rights.
  • Consent: where required for non-essential cookies, certain marketing messages, or specific sensitive uses.
  • Legal obligation: where we must retain or disclose information to comply with law.

Cookies & similar technologies

We use cookies, local storage, and pixels to remember preferences, authenticate sessions, measure site performance, and understand marketing effectiveness. Where required, we obtain consent before placing non-essential cookies. You can control cookies through browser settings; blocking some cookies may affect functionality.

How we share information

We share personal information only as needed with service providers who process data on our instructions—such as hosting, analytics, customer relationship tools, email delivery, and security monitoring. We require these parties to protect the data and use it solely for the services they perform for us.

We may also disclose information:

  • To your employer or integration owner when they administer access.
  • In connection with a merger, acquisition, or financing, subject to confidentiality obligations.
  • To regulators, courts, or law enforcement when legally required or to defend legal claims.

We do not sell personal information in the traditional sense.

International transfers

Eternix may process and store information in India and other countries where we or our subprocessors operate. When we transfer personal information from the EEA, UK, or Switzerland to countries not deemed adequate by regulators, we implement appropriate safeguards such as standard contractual clauses or other mechanisms approved under applicable law.

Retention

We retain personal information only as long as necessary for the purposes described here, unless a longer period is required by law or legitimate business needs (for example, fraud prevention). Retention periods vary by data category; marketing preferences are refreshed regularly and inactive profiles may be deleted or anonymized.

Security

We implement administrative, technical, and organizational measures designed to protect personal information against unauthorized access, loss, or alteration. No method of transmission over the Internet is completely secure; we encourage strong passwords, multi-factor authentication where available, and prompt reporting of suspected incidents.

Your rights & choices

Depending on where you live, you may have the right to access, correct, delete, or export your personal information; object to or restrict certain processing; withdraw consent where processing was consent-based; and lodge a complaint with a supervisory authority.

Marketing emails include an unsubscribe link. To exercise other rights, contact us via our contact page. We may need to verify your identity before fulfilling requests and will respond within the timeframe required by law.

Children

The Services are not directed to children under 16. We do not knowingly collect personal information from children. If you believe we have collected such information, please contact us so we can delete it promptly.

Changes to this policy

We may update this Privacy Policy to reflect changes in law, our practices, or product features. When updates are material, we will post the revised policy with a new “Last updated” date and, where appropriate, provide additional notice.
